1. About these terms
1.1 These terms form the contract between JP Man & Van Ltd (operating from 620 Rotherhithe St, Rotherhithe, London SE16 5DJ, email: info@jpmanandvan.co.uk, telephone: 07925 40 55 49), trading as JP Man & Van (“we”, “us”, “our”), and the person or business who books our services (“you”, “your”).
1.2 In these terms:
- Goods: means the items, furniture, effects, or boxes we move, pack, unpack, or hold for you.
- Services: means the removal, man and van, packing, dismantling, and related services we agree to provide.
- Booking Confirmation: means the confirmation sent to you by email or message setting out the booked date, arrival window, booked hours, crew size, vehicle size, and agreed rate.
- Job Completion / Delivery Sheet: means the written or electronic sign-off completed at the end of the job.
1.3 Your Booking Confirmation sets out the details of your move. If those details conflict with anything in these terms, the details in your Booking Confirmation apply. These terms can only be changed by mutual written agreement.
1.4 If you are a consumer, nothing in these terms affects your statutory rights under UK law, including your right to have services performed with reasonable care and skill. Nothing limits our liability for death or personal injury caused by negligence, fraud, or where otherwise prohibited by law.
2. Our services
2.1 Move Only: You pack and prepare all boxes and belongings, including wrapping and protecting furniture before our arrival. We provide the vehicle and crew to load, transport, and unload your goods as presented. Move Only does not include packing materials, packing labor, or floor/door protection unless agreed separately.
2.2 Full Pack and Move: We supply packing materials (boxes, tape, bubble wrap, furniture protection) and pack your items before transport. Any boxes packed by yourself prior to our arrival are treated as owner-packed (see clause 7.4). Unpacking services must be agreed in advance in writing.
2.3 Floor, door, and property protection: Specialized floor coverings and banister protection are available upon prior request and must be confirmed in your Booking Confirmation.
2.4 Dismantling and Reassembly: We can dismantle and reassemble standard furniture (such as standard flat-pack beds and simple tables) provided this is requested at the time of quotation and noted on your Booking Confirmation. We do not dismantle complex bespoke built-in units, gas appliances, or plumbed fixtures.
3. Booking, prices and time
3.1 Estimating resources: You choose the vehicle size, crew number, and booked hours. We provide guidance in good faith based on the inventory and access descriptions you provide. If additional items, extra journeys, or more time are required on the day, additional charges will apply at our agreed rates.
3.2 Minimum booking: All hourly bookings are subject to a strict 1-hour minimum charge. After the minimum period, work is billed in 30-minute increments.
3.3 Fixed-Price Bookings: Fixed price quotations apply exclusively to the specific inventory list, addresses, and property access conditions confirmed in writing. Any discrepancies on moving day revert to additional hourly charging.
3.4 Arrival Windows & Delays: While we make every reasonable effort to arrive at the agreed time, arrival times are estimates subject to London traffic, road closures, and weather. We will keep you informed of any unexpected delays.
3.5 Tolls, Congestion & ULEZ: London Congestion Charge, ULEZ (if applicable), and river/tunnel tolls (such as Dartford Crossing) will be added to the final invoice unless expressly listed as included in your quotation.
4. Your responsibilities
4.1 Presence: You or an authorized adult representative must be present for the duration of loading and unloading.
4.2 Readiness: For Move Only bookings, all boxes must be securely sealed, taped, and ready by the arrival time. Appliances (fridges, freezers, washing machines) must be defrosted, emptied, and disconnected before the crew arrives.
4.3 Parking & Permits: You are responsible for securing legal parking, resident visitor vouchers, or parking suspension bays outside both collection and delivery locations. If legal parking is unavailable and you instruct our team to park where a Penalty Charge Notice (PCN) is issued, you will be liable for the full fine amount.
4.4 Keys & Property Access: You are responsible for ensuring timely access to all properties. Waiting time caused by delays in key handovers or estate access will be charged at our standard hourly rate.
5. Items we will not move
Unless expressly agreed in writing by a company director, we will not transport:
- Dangerous, flammable, or explosive goods, including gas bottles, fuel containers, chemicals, aerosols, and firearms.
- Valuables, including loose cash, bank cards, bullion, deeds, securities, passports, and high-value jewellery.
- Personal electronic devices, such as laptops, tablets, and smartphones (which should remain in your personal custody).
- Live animals, reptiles, or pets of any kind.
- Perishable or refrigerated food without prior written arrangement.
- Stolen or illegal goods.
6. How we look after your Goods
6.1 Standard of care: We carry out all handling and transportation with reasonable care and skill, using removal blankets, securing straps, and suitable moving equipment.
6.2 Pre-move inspection: The crew may photograph or record existing damage, stains, tears, scratches, or structural weakness prior to handling.
7. Our liability for loss or damage
7.1 Liability basis: Where we are proven liable for loss or damage resulting from our direct negligence, we will, at our sole discretion, pay the reasonable cost of repair or replacement taking into account fair wear, tear, and age.
7.2 Insurance cover: We maintain Goods in Transit insurance cover up to £20,000 per vehicle. If you require higher coverage, you must notify us before booking to arrange supplemental cover or arrange your own private insurance.
7.3 Pairs and sets: If an item belonging to a pair or set is damaged, our liability applies only to the specific affected item, not to the entire set.
7.4 Owner-packed boxes: We accept no liability for damage to contents inside boxes or packages packed by the customer unless the external packaging shows clear physical damage caused by rough handling or vehicle impact.
7.5 Mechanical and electrical derangement: We accept no liability for internal electrical or mechanical malfunction of appliances, computers, televisions, or machinery unless accompanied by obvious external impact damage.
8. Damage to property other than your Goods
8.1 If we cause damage to walls, bannisters, floors, or doorframes due to failure to exercise reasonable care, our liability is strictly limited to making good the specific damaged area (e.g., localized plaster filling and touch-up paint). We will not redecorate entire rooms, replace undamaged adjacent fittings, or replace entire carpets.
8.2 We cannot be held responsible for unavoidable minor scuffs when moving oversized items through tight hallways, spiral stairs, or narrow doorways where you have specifically instructed our team to proceed despite prior warning.
9. Reporting damage and complaints
9.1 Inspection on completion: Please inspect your goods and property as thoroughly as possible before the crew departs. Any visible damage must be noted on the Job Completion / Delivery Sheet.
9.2 Written notification: Any claim for loss or damage must be submitted in writing with photographic evidence within 7 calendar days of the delivery date to info@jpmanandvan.co.uk. Claims submitted outside this timeframe cannot be accepted.
10. Changes and cancellations
10.1 Rescheduling: You may reschedule your booking free of charge provided you provide at least 48 hours’ written notice, subject to vehicle and crew availability.
10.2 Cancellation fees:
- 48 hours or more before booked slot: Full refund of any deposit or advance payment.
- Less than 48 hours before booked slot: Deposit or advance booking fee is non-refundable.
- Cancellation on arrival / after crew dispatch: You will be charged 100% of the agreed booked hours (minimum 1 hour).
11. Payment
11.1 Timing of payment: Payment for your booked hours is due before unloading is completed at the final destination, unless a deposit or business invoicing terms have been agreed in writing in advance.
11.2 Payment methods: We accept bank transfer, debit/credit cards, and cash upon arrangement.
11.3 Right of lien: We reserve the right to withhold goods (right of lien) in the event of non-payment or disputed payment until all outstanding fees, including additional storage and redelivery charges, are settled in full.
12. Storage
If overnight or temporary storage is requested, goods will be held securely subject to agreed storage fees. All storage charges must be paid in advance. In the event storage fees fall 30 days overdue, we reserve statutory rights to dispose of or auction stored items to recover outstanding debts after providing written notice.
13. Sub-contracting, route and method
We reserve the right to use qualified partner drivers or sub-contractors where necessary to fulfill bookings. These terms and our standard of care continue to apply. Our drivers determine the safest and most efficient driving route.
14. Ownership of the Goods
By booking with us, you declare that you are the legal owner of the Goods or have full authority from the owner to contract for their removal under these terms. You agree to indemnify us against any third-party claims arising from a breach of this declaration.
15. Events outside our control
We are not liable for delays, failure to perform, or cancellation caused by circumstances beyond our reasonable control, including extreme weather events, road closures, major traffic collisions, industrial disputes, or government restrictions. In such circumstances, we will reschedule at the earliest available opportunity.
16. General & Governing Law
These terms and conditions are governed by and construed in accordance with the laws of England and Wales, and both parties submit to the exclusive jurisdiction of the English courts.
